One of the questions I hear most often is, "Can you notarize this document?"

One of the questions I hear most often is, "Can you notarize this document?"

The answer is usually yes—but not always.

As an Indiana Notary Public, I can notarize many different types of documents, provided they meet Indiana's legal requirements. Whether you're buying a home, planning your estate, selling a vehicle, or completing business paperwork, notarization helps verify the identity of the signer and adds an extra layer of trust to important documents.

Here's a closer look at some of the most common documents that can be notarized in Indiana.

Estate Planning Documents

Estate planning documents are among the most common documents I notarize.

These may include:

  • Power of Attorney (POA)
  • Healthcare Power of Attorney
  • Living Will
  • Advance Healthcare Directive
  • Revocable Living Trust
  • Certification of Trust
  • Estate Affidavits

These documents often become especially important during medical emergencies or when planning for the future. Because of their importance, it's essential that the signer is willing, aware of what they're signing, and mentally competent at the time of notarization.

Real Estate Documents

Real estate transactions involve a significant amount of paperwork, much of which requires notarization.

Examples include:

  • Mortgage documents
  • Refinance packages
  • Home equity loans (HELOCs)
  • Purchase documents
  • Seller packages
  • Loan modifications
  • Deeds
  • Quitclaim deeds
  • Closing affidavits

As a certified Loan Signing Agent, I regularly assist buyers, sellers, lenders, and title companies with real estate closings throughout Central Indiana.

Vehicle Documents

Buying or selling a vehicle?

Some motor vehicle documents require notarization, including:

  • Vehicle titles
  • Bill of Sale (when required)
  • Affidavits
  • Odometer statements (when applicable)

Requirements can vary depending on the transaction, so it's always a good idea to verify what's needed before your appointment.

Business Documents

Business owners frequently need documents notarized as part of their daily operations.

Examples include:

  • Business contracts
  • Vendor agreements
  • Corporate resolutions
  • Articles of organization
  • Affidavits
  • Financial forms
  • Commercial leases
  • Partnership documents

Many professionals appreciate the convenience of having a mobile notary come directly to their office.

Personal Documents

Many everyday legal documents also require notarization.

Some examples include:

  • Affidavits
  • Sworn statements
  • Identity verification forms
  • Financial documents
  • Insurance forms
  • Employment paperwork
  • School forms
  • Travel consent forms for minors
  • Permission slips requiring notarization

If you're unsure whether your document requires notarization, the organization requesting it can usually tell you.

Family Documents

Families often need notarization during important life events.

These may include:

  • Adoption paperwork
  • Guardianship documents
  • Child travel consent forms
  • Custody agreements
  • Name change paperwork
  • Medical authorization forms

Documents for Hospitals, Nursing Homes, and Assisted Living

I regularly travel to hospitals, rehabilitation facilities, nursing homes, and assisted living communities to help families complete important documents.

These often include:

  • Powers of Attorney
  • Healthcare Directives
  • Living Wills
  • Trust documents
  • Medical forms
  • Financial authorizations

These appointments can be time-sensitive, so I do my best to accommodate scheduling whenever possible.

What I Cannot Notarize

While many documents can be notarized, there are some situations where I must decline.

For example, I cannot notarize a document if:

  • The signer is not physically present.
  • The signer cannot be properly identified.
  • The signer appears unwilling or is being pressured.
  • The signer does not appear aware of what they're signing.
  • The notarial certificate is missing and the signer cannot tell me which type of notarization has been requested.
  • Completing the notarization would violate Indiana law.

It's also important to remember that I am not an attorney. I cannot provide legal advice, choose the type of notarization you need, or explain the legal effect of your documents.

What Should You Bring to Your Appointment?

To help your appointment go smoothly, have:

✔ A valid government-issued photo ID

✔ The complete document

✔ All required signers present

✔ Any required witnesses (unless other arrangements have been made)

And remember—unless you've been instructed otherwise, wait to sign the document until you're with the notary.

Frequently Asked Questions

Can every document be notarized?

No. The document must require notarization, include an appropriate notarial certificate, and meet Indiana's legal requirements.

Can you tell me if my document needs to be notarized?

I can't make that determination for you. The person or organization requesting the document should let you know whether notarization is required.

Can you help me fill out my paperwork?

No. As a notary, I cannot complete documents or provide legal advice. If you have questions about what to write, contact the document preparer or an attorney.

Can I sign my document before the appointment?

In many cases, no. Some notarizations require me to witness your signature. Unless you've been told otherwise, it's best to wait until we meet.
