Showing up without the right identification can delay everything, here’s what you need to know.

One of the fastest ways a notary appointment can come to a screeching halt? No valid ID.

It happens more often than you might think, which is why one of the first things I tell clients is: please have your identification ready before the appointment begins.

Because no matter how urgently you need that document notarized . . . identity verification isn’t optional.



Why Notaries Ask for ID

A notary’s role includes helping prevent fraud.

That means I must reasonably verify that the person signing the document is actually who they say they are.

This protects:
✔ You
✔ The organization receiving the document
✔ The integrity of the transaction

Without proper identification, the notarization cannot move forward.



Common Acceptable Forms of ID

Generally, acceptable IDs include government-issued identification with:

  • A photograph
  • A signature
  • A physical description (when applicable)
  • Current validity (not expired)

Examples often include:

  • Driver’s license
  • State-issued identification card
  • U.S. passport
  • Military ID



What About Expired ID?

This is one of the most common questions.

In Indiana, an ID typically must be current or issued within a legally allowable recent timeframe depending on the circumstances.

That means some expired IDs may be acceptable, but not always.

Best advice?

Ask before the appointment rather than assuming.



What If I Don’t Have ID?

This gets trickier.

Depending on state law and circumstances, alternative identification methods may exist, but they are limited and situation-specific.

If you know ID may be an issue, tell your notary upfront.

Do not wait until appointment time.



Can I Use a Photo of My ID on My Phone?

Short answer?

No.

A photo or screenshot of your ID is not the same as presenting the physical document.

The notary needs to inspect the actual identification (or follow legally permitted alternatives where applicable).



What About Hospital or Senior Appointments?

These situations come up often.

If someone is hospitalized, in rehab, or in assisted living and ID access is a concern, planning ahead matters.

Questions to consider:

  • Do they have a valid physical ID available?
  • Is the document urgent?
  • Are alternative options legally available?

The earlier this is discussed, the smoother things go.



Quick ID Checklist Before Your Appointment

Before I arrive, ask yourself:

✅ Do I have my physical ID?
✅ Is it valid/current (or should I confirm first)?
✅ Is it government-issued?
✅ Is it accessible right now?

Because “I think it’s in a drawer somewhere . . . ” is not the vibe we want 😄



Final Thoughts

A notary appointment should be quick and stress-free.

Having the right ID ready makes that possible.

When in doubt? Ask first.

I’d much rather answer questions ahead of time than arrive only to discover we’ve hit a roadblock.
